When to use each
| What you want to do | Where to start |
|---|---|
| Manage event guests, approvals or waitlists | Keep those processes in Luma. |
| Promote an open sports or fitness gathering | Use KeepActive for additional discovery with a link to the public Luma event. |
| Host a private or member-only gathering | Keep it within its intended audience rather than exposing private details in a public directory. |
Where Luma fits
Luma’s event guidance covers event pages, calendars, registration settings, guest management and reminders. Continue using those tools for your gathering. Its public events can also be discoverable; KeepActive provides another place for people to explore relevant activities.
Official guidance: Luma: creating an event.
Link to the public event, not a private invitation
Use the public Luma event page when the next step is registration for a particular gathering. A calendar is a better introduction to a continuing programme, but make it clear that people still need to choose and register for a session.
Luma supports registration approval, capacity and waitlist settings. Explain the rule that applies: requesting approval is different from holding a confirmed place. Keep guest-specific joining information in the existing Luma communications.
If you change a gathering from open attendance to a restricted audience, review its KeepActive listing as well. Public discovery should reflect whom the event currently welcomes.
Use a dated KeepActive event listing for a particular gathering. If you also run an ongoing group, describe that continuing activity separately and explain where to find its next session.

Decide whether the gathering is public
Luma distinguishes public, private and member-only events. Only promote a gathering publicly when you intend to welcome that audience. Do not copy private joining instructions or member-only information into a public KeepActive listing.
For a public social walk or fitness session, explain who can attend, what pace or experience is expected and how newcomers are welcomed. Someone may choose it for the company and timing even if they initially searched for another activity.
Keep changes clear across both pages
Review the date, timezone, meeting instructions and eligibility after changes. Keep guest communications and confirmations in your existing Luma workflow.
Do not assume a calendar update automatically changes KeepActive. This guide describes a manual promotion workflow, not an integration, and does not compare current subscription or payment fees.
Take the next step
Keep managing bookings, members and registrations in your existing tools. Your public KeepActive listing helps newcomers decide whether the activity suits them and where to join.
